Ikonopedia Follow-up Manager Guide

 

·        From the Ikonopedia worklist

o   For user roles other than Admin

o   Click the “Gear” icon (upper right corner next to your name)

o   Click “Follow-up Manager” option

 

·        If signed in as Admin

o   Click “Follow-up” on the navigation bar

      
      
      ·        Follow-up Manager

o   Recommendations, based on BI-RADS (some customized), are created, and tracked

o   Steps (aka: Ticklers) are for tracking the scheduling attempts and/or reminder letters

o   Duration of time is set up between steps that will prompt when the next “tickler” needs attention

o   Duration of time is dependent on the BI-RADS, and customizable (examples below)

 

·        BI-RADS-1/2 and BI-RADS-3 Tabs

o   Recommendations will appear under the tab 30 days prior to when the exam is due

       

      ·        BI-RADS 0 and BI-RADS 4/5 Tabs

o   Recommendations appear under the tab(s) immediately after a report is signed

o   Immediate duration means the recommendation stays on the list until steps are completed or the recommended follow-ups are reported and signed

      
      ·        Pathology Tab

o   Pathology ticklers are created when a signed report is given a BI-RADS 4/5 for biopsy

o   Ticklers will be “auto-completed” when pathology results are entered into the “Resolution Manager” and an addendum added to the procedure report with the results

      
      ·        Patient Notify Tab

o   Print patient result letters (one step - see separate workflow guide)

o   Can print individually, by “Batch” printing, or IF configurable, by a printing service

       

·        Ref-Doc Notify Tab

o   Communicate results/report to the referring doctor

o   Can print individually or by “Batch” printing

o   Can be disabled if the printing of reports is done through RIS/PACS

       

·        Configuration options for completing recommended follow-up exams

o   Complete steps manually but the follow-up signed report will auto complete the ticklers

o   The exam is scheduled with an order received auto completing the ticklers

Note: if patient cancels or is a no-show the tickler(s) become “active” again


·        Working through steps/ticklers

o   Highlight the patient’s recommended follow up(s) under the BI-RADS tab

o   Click on the “number” under the “Step #” column

o   Steps will vary per patient and per BI-RADS

o   Can add status options and/or notes by clicking the drop-down arrow or note icon

o   Steps to be completed in order until overall “auto completion” happens

o   Once overall completed the follow-up recommendation(s) will be removed from the list

      
      ·        Can also click “note” to add text and save

       
      ·        Check the “Completed” box (first column in blue box) which will add a timestamp

o   The “Step #” will also update

o   Depending on the tickler’s duration, it may drop from or remain on the list

o   Depending on the customers configuration, steps will overall complete with signed reports and/or scheduled exams

      
      ·        Lost to Follow-up

o   All efforts have been exhausted to bring the patient back for the recommended follow-up

o   Patient refused service, moved away, went to another facility, or patient deceased

o   Add a note for reason of “Lost to Follow-up” at the most current step and/or within the last step “Lost to Follow-up” option

o   If not already done so, check all “Completed” boxes to include the “Lost to Follow-up” box


      
       o    When the last step is checked completed, the follow-up is “overall” completed (column outside the blue box) and drops from the list

o    Lists will refresh when you return to or update “Follow-up Manager”

      

·        If the patient is “Lost to Follow-up” before previous steps are completed

o    Complete the most current step with a note

o    Check “Completed” column boxes for remaining steps in order

o    Add same note to the final or “Lost to Follow-up” step

      
      ·        Watch Tab

o   Can add a status or “Flag” to a recommendation to keep “watch” over

o   Will remain under both the BI-RADS and the “Watch” tab until completed

o   Up to the customer to add the meaning or significance for each flag color
